Outlook - Change how much mail to keep offline

Only mail from the past 1-year is being synchronized to my Offline Outlook Data (.ost) file from the Exchange server. Items older than 1-year reside only in my mailbox on the server. You can change this setting at any time by performing the following steps:

  1. Click File > Account Settings > Account Settingsd546704d-8d68-4538-b385-9b31998ad113.gif
  2. Select your Primex Plastics Exchange account, and then click Change2dbf4bc7-1597-4357-bf18-510b61d315e3.jpg
  3. Under Offline Settings, move the slider to the desired amount of time, such as All, 3-years, 2-years, 1-year (default), 6 months, 3 months, or 1 month. Note: If you're using Outlook 2016, you can also select an amount of time as short as 3 days.67a73ba8-457f-432e-9898-446e4ad9c7b3.jpg
  4. For example, if you move the slider to 2-years, only mail from the past 2-years will be synchronized to your Offline Outlook Data (.ost) file from the Exchange server. Items older than 2-years reside only in your mailbox on the server. You can change this setting at any time. Keep in mind if you have a LARGE email database. The sync process could take hours and it's not recommended to select ALL.
  5. By default, Outlook configures Exchange accounts to only synchronize 12 months of your email.
